A supplier revises a dimension or replaces a document. The update lands in a mailbox. Someone edits the website. Someone else updates a PDF shared with sales. An internal list and a quote template may still carry the old value. The work is not five edits; it is one change with five consequences.
Identify the authoritative change
Record the supplier source, the affected product identity, the field or document that changed and the effective condition. Confirm whether the change applies to every variant or only a subset. Ask who can approve the change internally and where that approval is retained.
Then map where the value appears: product master, website, downloadable document, sales reference, feed, quote or integration. The list should be confirmed with the people who use those outputs; a search for the product code can reveal less obvious copies.
Propagate, verify and retire
Define the order of updates, the owner for each destination and how completion is checked. If one destination cannot be updated immediately, show its status and the temporary treatment. Where old material must be retained for historical orders, mark it as superseded rather than silently deleting the record.
A practical inspection
- Preserve the supplier source and effective date.
- Resolve product and variant applicability.
- List every known system and customer-facing output.
- Assign approval and update owners.
- Check the published value and mark superseded material.
Make supplier changes traceable.
Define who approves, propagates and verifies each update.
